Lead notification emails explained

The following are all examples of lead notification emails you’ll receive whenever an action is needed from someone on your team. Please note that these are generated by the AI assistant and are non-customizable.

  • Trigger: visitor submits a showing request in chat
  • Purpose: handoff to a human for scheduling / follow-up
  • Format: branded email sent from the AI assistant

Listing / photos removal request

  • Trigger: visitor asks to remove a listing / photos
  • AI assistant collects: address and contact info
  • Routing: forwarded to customer care via email
  • Purpose: customer care / compliance handling

General inquiry

  • Trigger: visitor submits a general request through the Ai assistant
  • Includes: context / details needed to respond
  • Purpose: everything else that still needs a human response

Financing inquiry

  • Trigger: visitor submits a financing inquiry in chat
  • Includes: interested listing, pre-approval, down payment plan, credit score status
  • Routing: emailed to your mortgage specialist of choice

Listing inquiry emails

These emails get sent to your organization whenever a user submit a showing request, and signal that an action is required from someone on your team. Here’s an example of what you’ll expect. For those on the Free tier, these are limited to five per month.

Those who subscribe to Roof AI Intelligence and Full service get advanced lead qualification details included in their listing inquiy emails.
Free and Core users receive basic lead information, and can unlock detailed qualification insights on the Intelligence plan.

Financing inquiry emails

Visitors interested in financing are routed to your mortgage specialist of choice, who will receive the email below whenever a financing inquiry is submitted.

This email will include details including the listing the user is interested in, whether they’ve been pre-approved in the past 6 months, their down-payment plan, and their credit score status.

Follow-up escalation emails

Your Roof AI assistant will follow up with users who submitted inquiries, asking them whether someone has gotten in contact with them or not. In the case that a user hasn't been contacted, an escalation email will be sent to the team notifying them that they need to reach out to them.

General inquiry emails

Users can submit general inquiries through your Roof AI assistant. Whenever they do, your team will receive an email that includes all the details necessary to answer their request.

Listing / photos removal emails

If your website is displaying sold listings, users can request your Roof AI assistant to remove their listings or photos off the site. This request is automated by your Roof AI bot, and will ask for the address as well as the contact info of the user before forwarding the request to your customer care team.

Weekly report

This weekly email summarizes your chat activity and captured leads, so you can track performance easily. Here are the stats you can expect:

  • Conversations initiated: The number of new chat sessions started by site visitors during the reporting period
  • AI assistant Q&As: The number of visitor questions Roof AI answered directly in chat, without staff involvement
  • Most popular topic: The topics generating the most chat activity that period, so you know what your customers are looking for
  • Leads captured: Total leads created from chat, split by their intent – buyers, sellers, renters, or a combination
  • Average length of conversation: The average number of messages exchanged per chat.
  • Conversion rate: The percent of conversations that became leads.
